Six weeks before the safety commission: a scenario with Paco
An independent 40-room hotel, a periodic visit six weeks out, one missing certificate and one problem the inspector noted that is still open. Here is what Paco would do, week by week. It is an illustrative scenario with example data, not a customer story.
A scenario, not a case study
Paco is new and shows no logos or testimonials, and we will not invent any. What follows is a constructed scenario: the property is fictional, the dates are examples, but every step described matches behaviour the product actually has, and nothing else.
Six weeks out: the list as the commission will see it
The manager gives Paco the date of the visit. The "Inspection ready" page then shows the list as it will stand on that day: the electrical check is proven, the extinguishers too, but the smoke-control certificate is not on file, and one problem from the last report (an emergency-lighting unit) is still open. Nothing is invented: a check without proof shows as exactly that, and never becomes "probably done".
- Every check carries its interval and its legal source
- A missing proof stays visible, never presumed
- The open problem stays attached to its original report
Five weeks out: the requests go out, under your rules
Paco drafts the request to the smoke-control company (site, equipment, deadline, reference of the last report) and shows it to you. It leaves from your mailbox, in your name, when you approve it, or by itself if you have already approved that kind of letter. If the company does not reply, the check stays late on your list. Ask Paco for a reminder, in the chat or on WhatsApp, and Paco drafts it.
Three weeks out: the problem is fixed on WhatsApp
Replacing the emergency-lighting unit falls to your own team. Paco sends the task to the technician on WhatsApp, with no new app to install. The task stays open until the photo that proves the fix, time-stamped on arrival, and your approval. The problem from the report closes with its proof attached.
Visit week: the pack in one click
The smoke-control certificate arrived by email; Paco read it and filed it against the right check. The inspection pack comes out in one click: contents, table of checks, certificates appended, problems noted and the proof they were fixed. If the inspector wants to see it before the visit, the manager sends a link to a live page. The link expires, and the manager can cancel it. What the commission looks at first (the safety register, the reports, what became of the items raised last time) is already assembled.
Common questions
Does this scenario describe a real customer?
No. Paco is new and shows no logos or testimonials; the property and the dates are examples. Every function described, however (visit date, drafted letters, WhatsApp tasks with photo proof, inspection pack, share link) exists in the product exactly as written.
What if the company never answers?
The check stays late on your list until a report arrives: nothing closes without proof. Paco drafts a reminder as soon as you ask for one.
Do I have to use the pages?
No. Everything in this scenario can also be asked of Paco, in the chat or on WhatsApp: "what is missing for the commission?", "chase the smoke-control company". Paco answers from your own list, and a letter or a change follows the same rules as on the page.
Want to see the real thing?
Connect your mailbox or drop in a few reports. Paco builds your list, works one check through in full, and shows you the price before you pay anything.
