Team, tasks and staff documents
Your team on WhatsApp, internal maintenance jobs, and staff work permits with their expiry dates. Paco briefs the right colleague, reminds them if it sits, receives the photo that proves it is done, and tells you before a permit runs out. What is blocked says so, instead of reading as forgotten.
The team is briefed on WhatsApp, with no new app
A message to a colleague always carries a witness: the job a manager created, the visit you approved, the check whose frequency you confirmed. No witness, no message. With one, by default, a reminder at most every 48 hours, three per job, a week, then it is yours; your organisation can change those timings. Every reminder carries the witness that allowed it.
- On WhatsApp, from Paco's number, once the person has linked their own phone
- These messages go on their own unless you chose "ask me first" or paused Paco
- The colleague can say stop; so can the manager; either is a receipt
- Never to an outside company: that is the other rail, with your approval
- Invite by link or QR code; each card shows the role, whether WhatsApp is linked, and the open jobs
Internal jobs, not only inspection problems
A maintenance job, a visit to prepare, a problem the inspector noted to fix: all share the same list. The technician waiting on a part says so. So does the manager who pushes work out. Each state needs a reason, keeps its date, and is never confused with a forgotten job. Reminders stop for the person who already said why.
- "Waiting on a part" and "deferred" are states, not excuses
- A reason is required; without one, the state is refused
- A job born from a noted problem keeps its original evidence
The team reports a problem the way it already sends a message
A housekeeper sends a message and a photo on WhatsApp, or uses the "Report a problem" page. Paco sorts it and puts it in front of you as an item to decide. A room that cannot be used becomes a proposal to take it out of service.
- No form to learn
- The photo stays with the report
- Nothing becomes a job without your yes
Work permits, with the date before they run out
Where your country issues work permits for staff, you keep them on the same page as the team: expiry date, renewal, attached document. Paco emails managers at 90, 60, 30, 14 and 7 days, then on the day. You are told before a permit runs out, not after.
- Reminders by email to managers, not on WhatsApp
- Renewal: a new record; the old one is superseded
- Shown only when your organisation needs it
A photo says when and where it was taken
A colleague sends a photo over WhatsApp, from the app, or in the chat; all three paths go through the same reading. At receipt, and once only, Paco records what the file says about itself: the shutter time, the position, the camera, and a fingerprint of the bytes. A photo taken three weeks before the work was claimed done, or somewhere else, no longer looks like one taken on the spot that morning. You judge; Paco gives you what to judge with.
- Read from the file itself, not from the upload time
- A photo without that data says so; it is not rejected
- Validation stays a human act, never a mandate
Common questions
Do my staff have to install anything?
No. They link their WhatsApp once, from their own phone, and Paco writes to them there. Without that link, it does not write to them. If a colleague has not messaged Paco in the last 24 hours, WhatsApp allows only a short approved message, such as a new job or a reminder.
Do work-permit reminders go on WhatsApp?
No. They go by email to managers, at 90, 60, 30, 14 and 7 days, then on the expiry day. WhatsApp stays for the team's jobs and photo proof.
What if the photo has no position?
The proof says "no position" and you judge as before. Paco does not reject a photo on that ground; it only refuses to pass off missing data as verified data.
