Maintenance manager: the day, not only the PDF
The jobs to do, the spaces of the building, the equipment that is ageing, the companies that do the work, and the team on WhatsApp. Required checks are one part of that day. Paco reads reports and invoices, proposes the work, and briefs colleagues.
The building, floor by floor
The Building tab shows every space by floor, coloured by its state. Jobs wait in one shared list: to take, in progress, done. A colleague takes a job, or you assign it. Paco turns a problem the inspector noted into a proposed job and briefs the colleague on WhatsApp. When someone on the team reports a room that cannot be used, Paco proposes to put it out of service.
- Jobs with blocked and deferred states, never confused with a forgotten one
- Each space carries the history of work done there
- A job closes with a time-stamped photo, validated by a manager
- Equipment age comes from you, never invented
Plan the work on free days
The planning sheet sets days against spaces: jobs, company visits and checks sit on it. If your hotel software is connected, the sheet also shows which rooms are occupied, free or blocked, so you put the work on a free day. With no software connected, the sheet says so, and still shows the planned work.
Required checks stay in the same tool
A certificate arriving in your Outlook, IMAP or Gmail mailbox, or forwarded to your Paco address, is matched to the check it belongs to, with its date and the company. A forwarded attachment, or anything Paco is unsure of, waits for your OK first. A report handed over on paper is uploaded once. Then the next deadline rolls forward on its own.
- The next deadline recomputes from the real date
- The company and report reference are kept
- Noted problems land on the check, not in a drawer
